Hosting Online Tech Conference for the First Time in My Life

I never thought of getting a chance to be a part of the tech conference that Bit Project created. Here’s what I learned as a host and co-host of the event.

You have to make sure all members know what they’re doing

We can’t host the events without any help from other team members. Some people might take care of the chat from social media platforms. Others might respond to people that have a comment about the event. Being aligned among team members is very important.

Good preparation is a key

Preparing for the conference would take about six months or more to prepare it. We need sponsors, mentors, and attendees to join us and encourage them to share our event beforehand.

Marketing makes the event more lively

Conference also ties in with the concept of good marketing. Who wants to join if the social media post sounds boring and only shows you gibberish language that you don’t know? Especially with the tech (aka serverless) topic, the post should engage and make others want to join. We want beginners can also enjoy the event.

Hands-on workshop is ALWAYS my favorite one

A conference shouldn’t be all about talking. We should invite people to join us in the hands-on workshop and let them experience coding.

Make sure to get all events-related links beforehand

The issue I experienced during hosting was that we forgot to ask the speakers to provide us with links that will be shown during the demo. It will ease our job as a co-host because we only copy and paste the link to the chat.

Get ready with the tech issue :D

I know that everything can happen outside of our expectations. There was an Internet problem, a mic issue, or maybe somebody was yelling from behind us. We need to find the perfect spot and also to make sure that someone can be our backup whenever we are out of the connection.

Edit the video if we get a chance

Editing video only applies if you try to host the pre-recorded workshop, which means that the speakers record themselves, and our task is to play the video live on stage directly. The issue is not all speakers speak at the same volume. So, we need to edit the sound before hosting the live conference.

Get the feedback from the attendees and team members

After the event, make sure to get more feedback on what we should improve for our future events. There is more room to improve, for sure.
